The Community Association Bookkeeper is an integral part of the company.
The bookkeeper works under the supervision of the Community Association Managers (CAM) as well as the Office Manager, with the Office Manager being the primary supervisor.
The Community Association Bookkeeper is responsible for overseeing and recording transactions for the company's homeowner association clients.
Bookkeepers operate with some autonomy but take direction from the Office Manager and CAMs to determine the most effective schedules for processing account receivable, accounts payable, and the production of financial reports for RMC's clients.
Responsibilities:
Handle office tasks, such as filing and generating reports Open, record, and make deposits for HOA fees being sure to follow up on delinquent accounts as directed by managers.
Prepare print and mail late letters and payment demand letters Prepare monthly financial reports for review by Office Managers and subsequently CAMs Receive, code, record, pay and file accounts payable Balance bank statements Input property budgets into accounting software annually Assist CAMs by preparing projected actual figured for annual budget preparation Process bank transfers if needed Maintain database for client CD's, keeping managers aware of mature dates and competitive CD rates Coordinate and facilitate year end audit with accounting firms.
Review and prepare tax returns, produce checks.
Purge year end accounts receivable, accounts payable, and prepare new files for upcoming year.
Prepare and mail payment coupons to clients as needed Add, remove, or otherwise track and transfer new clients in and old clients out of accounting software Open and close bank accounts with Office Manager and CAMs and clients; facilitate obtaining of signatures for the same Communicate electronically, in writing, and by telephone with clients as it relates to their account states and fees Meet with clients to explain and orientate them to the company's financial packages (profit and loss, balance sheet, cash disbarments, general ledger, etc.
) on an as needed basis Maintain and pay loan payments for clients Create and maintain special assessments for clients on an as needed basis Process delinquent clients for collections and, ultimately, turn clients over to designated attorney.
Follow up with attorney for collections updates monthly Create and mail 1099's for client's vendors at year end.
Assess fines to clients account with CAM direction Process monthly closes and perform monthly accruals Assist in other general office tasks if needed Anything else deemed necessary by the executive staff of owner.
SKILLS REQUIRED:
Must be professional in both appearance and character.
Self-motivated, but willing to ask questions and seek help when needed.
A team player and willing to help other staff members.
Strong interpersonal, supervisory and customer service skills are required.
Able to set priorities, plan, organize, and delegate effectively.
Strong written and verbal communication skills.
Must have command of the English language both written and verbal.
Excellent phone etiquette.
Ability to work effectively under time constraints and deadlines.
Must be computer literate, proficient in Microsoft Word, Excel and Outlook.
Knowledge of TOPS Systems software is preferred.
